You can change how often Notes checks for new mail, and whether it notifies you with a sound, a popup alert, an icon in the system tray, or a combination. You can also change these settings for Notes Minder, which checks for new messages when Notes is not running.

You can also set one or more notification methods for when new mail arrives.

Note: This topic describes notification only for Notes mail on a Domino server and IMAP Online Internet mail. To receive new POP or IMAP Offline messages, replicate your mail.

=To set how Notes checks for and announces new mail=

In standard Notes

  1. Click File > Preferences.
    Macintosh OS X users: Click Lotus Notes > Preferences.
  2. Click the plus sign beside Mail, and then click Sending and Receiving.
  3. Select Check for new mail every x minutes to have Notes check for new mail automatically, and then type a number of minutes to set the interval at which Notes checks for new mail.
  4. Do any of the following:
    • Select Refresh Inbox automatically to display new messages in your Inbox when new mail arrives.
    • Select Play a sound to hear a sound when new mail arrives. To select the sound that plays, click Browse and select a sound. Notes lists the WAV files stored in the default Windows sound directory.
    • Select Display a popup alert to see a dialog box when new mail arrives.
    • Select Display an icon in the system tray to see a New Mail icon in the status area of the Windows taskbar when new mail arrives.

Use Notes Minder to check for new mail when Notes is not running.
  1. Click Start, click All Programs, open your Lotus Applications folder, click Notes Minder, and then enter your Notes password when prompted to start Notes Minder. Right-click the Notes Minder icon in the Windows taskbar and select Properties.
  2. Do any of the following:
    • Select Audible Notification to hear a sound when new mail arrives.
    • Select Visual Notification for Mail to see a dialog box when new mail arrives.
  3. Type a number in the Check for Mail Every x Minutes field to set the interval at which Notes Minder checks for new mail.
