I have a need to create three common mailboxes which will be used by various individuals.  Using the delegation of email access to calendar and mail will not work as the From indicator shows the persons Notes email address on behalf of the delegated mail box.  This will not work as we do not want customers sending their requests directly to the employee.  I found a nice template named Domino Team Mailbox at OpenNTF.org.  You have to create a mail-in database for it but It works like I expected.  The only thing that doesn't work is the new mail notification and I think that may be due to it using a function that was designed for Domino 8.x and since changed???  There are some other things that don't apply to it such as automatically emptying the deleted mail items on a schedule. It has to have a mail-in database created for it for the email to work so, does this mean it resides within the names.nsf directory file?  Question is...  Is there a way to have common/shared email that will leave out the person@mail.com on behalf of addressing?  I do use DAOS and I understand from reading that shared mailboxes cannot be used with DAOS.

Partial answer
The DAOS note about shared mail refers to the older technology known as Single Copy Object Store (SCOS) or shared mail, not individuals sharing a single mailfile. SCOS was deprecated once DAOS was released.

That's good to know Chad and puts my mind at ease somewhat.  Do you think that having a group mailbox as a mail-in type application will work ok?  I do have three of these types of applications that would be just the ticket I'm looking for.  As for using the template I located for this, I do not know the first thing about editing code with Designer in order to get the new mail notification to work but I can certainly break it without much effort I'm sure....

I've not used that app, but...
It looks like the New Mail Reminder agent is disabled by default. I'm not sure if that is what handles the notification you mention, but it seems likely given the name. Try enabling it with some suitable schedule and see if that does the trick.

I'm guessing this handles the notification of new email from reading up on it at optnntf.  It generates an error when it is enabled but the error is only visible on the server console and in the logs.  I haven't had much luck in getting the notification functionality to work within anything created using a mail-in document - group calendars for instance.  Even if I go the traditional route of delegating access to a calendar / email account, the notifications do not show up on any of the clients that use them.

We use the template for mail in db's.

We have cleaned out templates also (less preferences), just for use as mail inbox for a project, or another one to use as project mail inbox with mail rules, .....

From what I have noticed :

- The new mail reminder works as expected when new mail arrives in the inbox (we use it in some of them)

    Under Mailbox preferences you have the tab new mail reminder, where you can set the people who need to receive (and other things) and the button to enable the feature

- The mails sent from the mailbox if configured correctly carry a mail address of choice (best to use the one from the mailbox)

   Under Mailbox preferences you have the tab advanced, here you can set the mail address for example

 

Don't have used or saw the empty trash feature, but the default in db props stands at 336 hours :-) to empty trash, as for a standard mail file it stands at 48 hours.

Hi Peter,

For your group mailbox, are you using the Domino Mail(9) template to create your new database and then a mail-in document based upon the newly create mail database?  I considered that route but I understood you would get all the calendar and to-do stuff as well???

Nope we use "TeamMailBox326.ntf" from OpenNTF.

Like I said, we made some adjustments to the colors, and the visible preferences and all items work as expected also the new mail reminder once enabled.

 

FYI

We create 1 mailbox per project (if it gets to big (+50Gb) we create a second one and point the "Mail-In database entry" to the new one.

We have had so far 1 project that needed more than 1 db, so for that project we have mailbox 2009-2011, mailbox 2012-2014 and mailbox 2015- (where mailbox is the projectnr)

Hi Peter,

I started using that again since I too didn't get anywhere with an IBM PMR but I cannot get the new mail notification to work.  I have it turned on within the mailbox settings but this is the error that is generated when new mail is delivered:  "Agent Manager:  Error in Agent 'New Mail Reminder TeamMailboxReminder' in database 'mail\mailbox.nsf' signed by 'my name/domain' calling script library 'TeamMailboxReminderLibrary'.  Script library signature is corrupted.

AMgr: Agent ('New Mail Reminder TeamMailboxReminder" in 'mail\mailbox.nsf') error message: Error loading USE or USELSX module: TeamMailboxReminderLibrary

I don't have the first inkling where to start sniffing around with Designer even though I found the code snippet for the new mail notification.  Any ideas?

Did you re-sign the template?
That should be one of the first steps for any application you take from outside and put into your environment. If you look in the help for the Domino Team Mailbox app, it's under the Download and Sign the template section.

yeah, that was my mistake.. i didn't sign the template before creating the database.  i did sign both the template and the database and the error has disappeared.  Because I didn't sign the template before creating the database, will I need to remove the database and the mail-in document then re-create it for the notification to work?

No, you should be fine
It should be fine if you re-signed the template and then refreshed the design into the database.

Is all good now.  Once I signed the document, notification email is being sent to the designated users although it seems the frequency of the notifications take a while.  When email arrives in a users mailbox, the notification happens within a minute but when email arrives into the mail-in database, it takes anywhere from within a minute to 15 minutes.  Haven't found that setting yet.
