Notes has an identitiy problem

  • Category: Mail

Using "Reply to all" in a Notes mail creates a mail to everyone but yourself.

Using "Reply to all" in an SMTP mail creates a mail to everyone including yourself.

Why?

Because Notes is not aware of its users SMTP mail address.

Would it be difficult to eliminate your own SMTP mail address from the recipients list when using "Reply to all"?

No.

Is the problem annoying users?

Yes.

Does the problem crash the Notes client?

No.

Will the problem get fixed?

Judging by my 21 years of Notes experience: I doubt it.

Same thing is true for many other bothersome problems

Not exactly
Notes does remove your own smtp internet address from a reply to all email that was received via SMTP.  It does this based on the location document you are currently using.  The location document has an internet address field.  If the value in there matches the email address the smtp mail was sent to, it will then strip that address from the reply to all.
You will experience the issue only with users that have multiple internet addresses, as the location document can only store one entry (which is grabbed from the internet address field on the person document).

The beauty of Notes, however, is that it allows you to write your own logic and change it the way you want to.
I agree with you, the reply to all could be improved; keeping track of multiple aliases would not be a bad idea nor would it be that complicated to implement. It would , however, add overhead.
Is it worth it?
IBM Notes development will have to answer that one.

The location document has an internet address field

Thanks for the hint.

The internet address field definitely contains only  one value. That raises a couple of questions:

  • Why was the internet address not copied not copied from the Domino Directory to the corresponding field in the location document during the setup procedure?
  • Is the internet address field in the location document updated when the name is changed?

DCC handles that
The internet address should have been pulled down during setup.
You can also update the internet address field on the person document and the next time DCC runs it will pull it down and update the location document.
If this is not happening then there must be something preventing DCC from running to completion.

In regards to the rename, the internet address field can be renamed but it is an optional field.  When the administrator performs the rename he/she has the option to update the shortname and internet address field as well.  These fields are not mandatory but marked as optional.  Usually , the best way to handle this is to put the old internet address field at the bottom of the username field in the person document and manually update the new internet address field .  This way old mail sent to the user using the old name will still be delivered , moving forward all mail sent from the user will have the new internet address (as long as DCC is running properly and the new value from the person document is pulled down and updated on the location document for the user).

two type of addresses complicate matters

Using Notes addresses internally should have been abolished many years ago. Having two type of addresses just complicate matters. Notes Calendaring and Scheduling has issues with Notes addresses too. It sends out Notes addresses ton internet users which makes a reply impossible.

You can disable NRPC
It is possible not to use NRPC within Domino and to use SMTP even for internal mail.  However, that does not really change the existence of a Notes hierarchical name which is used for a lot more than just handling messaging (certificates and security revolve around that).  In regards to the calendaring and scheduling, what you described should not happen, and if it does, contacting IBM to resolve the issue would be the best option.
Provide steps to reproduce the issue and we can investigate to see if we can

1. Reproduce the problem and possibly create a fix
2. If we cannot reproduce find the root cause of the issue in your environment.
