Mail-In database - folders

At the moment I am managing my organizations customer service account, (i.e customerservice@bank.com). Questions are sent  to customerservice@bank.com and I place the questions in to different folders, stocks and money, ( in lotus notes 9) depending of the nature of the question.  The thing I want to achieve is to attach my colleagues email to the folders. I.e Pete Simons email is attached to the money folder, so he gets a email to is own personal email when there is a question in the money folder. When he replies to question, I wont the reply to sent from customerservice@bank.com. 
 
Is this possible to do? Or is there any other solutions available?

 

I am using IBM Lotus Notes 9 with Mail-In database

How are you moving the mails into the folder?

If you're dragging and dropping you could use the queryDragDrop event on the folder to send an email

If you're using a button, recode the button to send the email

Or both

Try to explore Mail Rules to match your desired output

To move emails to a certain folders automatically use Mail rules, you can create a condition that whenever the subject/body contains details for each classification move to desired folder.

You can also set an action to forward(send copy to) the emails to desired user.

For your first requirement , you can use "send copyto" rule in the mail-in database so that specific mail will be forwarded to your colleagues I.e Pete Simons

For second requirement , Pete Simons should reply form the mail-in database.
If he sends reply from his own mailfile, then the 'internet address' of location document of Pete Simons should be set as 'customerservice@bank.com'.
In that case user has to use 2 location document. One with his own internet address and one to be used only while replying these specific mails.

Are you currently filing messages based on the subject line?

If so, how do you get customers to use the keywords or phrases needed to sort the incoming correspondence?  What proportion of emails from customers would not be sortable based on keywords alone?
