Email search questions/issues

Is there a way in IBM/Lotus Notes to search the bodies of all emails in my InBox or Sent mailboxes?  The search tool seems to only want to search the header columns.

Also, sometimes text that does appear in headers is simply not found by the search tool.  This makes mail searching very difficult.

Also, the search behavior is oddly asymmetric when you select a particular column.  When "all columns" is selected, the search box remains open and stays where I have placed it as I search from one found item to the next, or when nothing is found.  Also, in that case my display settings are not modified..  On the other hand, when "subject" is selected, and I search, my display changes to be sorted by subject, and the search box disappears, whether the search was successful or not.  When I reopen the search box it is back in the center of the screen, not where I had placed it.

If anyone can provide help on these issues it would be appreciated.

Choose menu option "View, Search this View"
That will show a search bar that will provide search within documents within the shown view using the Notes Full Text Index.  check above and to the right of that search box that it says Full Text Indexed, and not "Not Indexed".  If it shows "Not Indexed" click it and click ok to create the index

Does IBM provide any training courses to employees on how to use Notes, or internal support forums for your questions?

Use full-text index search
I believe you're referring to the Find dialog with a mail file view. This is good for finding emails from a certain person or specific subject but if you really want to search the entire message, you should use a full-text index search. With your mail file open, go to the View menu, select Search This View. The make sure the full text index is created and search away. It will search all the fields of the emails including the body. If you use the All Documents view, it will search all your mail file.

Hi

Regarding searching in the body of emails...

Ensure your mail file is indexed (i.e. when you mail file is open, go File/Application/Properties. In the second last tab, click on "create index").

Once indexed, go View/Search this View. You will be able to search for text in the bodies of emails within the view you have open e.g. Inbox, Sent, All Documents, etc

"Search This View" works!

Thank you very much for the suggestion to use "search this view".  It works great!  Funny that it is so well hidden, and named so peculiarly.

Also, does anyone else find it more than a little confusing for users to have two separate ways to search your email (find and search)?  I think it would be good for the Lotus Notes team to consider unifying these two functions with a single interface (and in that interface perhaps suggest, "search headers only" or similar).  This is the way most other mail programs work, and it is more intuitive.

Regarding whether or not there is internal Lotus Notes training available here at IBM, I have a very clear response for you.  If Lotus Notes usage requires a training course, then Lotus Notes is a failure from a user interface perspective.  Eail client programs should not require training courses.  Anyone can use the gmail client, or outlook or any one of a dozen alternatives without training courses.  Lotus Notes should aspire to that too.
