Directory search order for a name in a Notes address field

In the Domino 8 Infocenter there was a section:  "Directory search order for a name in a Notes address field".  It was in Directory Services, Planning Directory Services, Planning Directory services in a multiple directory environment, Directory search order, Directory search order for a name in a Notes address field.  In there it states:

When a IBM® Lotus® Notes® user enters a user or group name in an address field of a Notes memo, the Notes client and mail server search directories in the following order to retrieve the address for the name. If a name is found during any step, searches continue only if the "Recipient name lookup" field in the Notes user's current Location document is set to "Exhaustively check all address books."

For searching to continue to a server, the "Mail file location" field in the active Location document must be set to "On server." Type-ahead searches never continue to a server if there is a local Mobile Directory Catalog.

  1. The user's Contacts.

  2. Any local Mobile Directory Catalogs on the client.

  3. The primary IBM® Lotus® Domino® Directory on the user's mail server or directory server.

  4. A condensed Directory Catalog on the server.

  5. Directories defined in the server's directory assistance database that have the option "Make this domain available to: Notes clients and Internet Authentication/Authorization" enabled.

Are there different capabilities in Notes 9.0.1?  I would like to search the corporate directory first.  My boss (VP of IT) had some key employees information in his personal address book.  But, by default, when he sends them an email he would like their corporate address used - not their personal email (that he as stored in his personal address book).

1 - I don't know where to find such a section in Domino 9 documentation.

2 - Can I change this search order?

Domino 9 Admin help states :

When an IBM=AE Notes=AE user enters a= user or group name in a Notes mail address field, the Notes client and mail server search directories in the following order to retrieve the address for the name.

About this task

If the user enters a common name rath= er than a hierarchical one, the server searches all directories according to the search order specified for the directories.

If the user enters a hierarchical nam= e, only directories assigned naming rules that correspond to the hierarchical name the user entered are searched. If there is more than one directory assigned a naming rule that matches, the directory with the most specific matching rule is searched first. For example, if a user enters the name Phyllis Spera/Sales/Renovations, the server first searches a directory with the rule /Sales/Renovations, before searching a directory with the rule */Reno= vations. If directories have identical naming rules that match the name entered by the user, search orders assigned to the directories determine the order in which the directories are searched.  

If a name is found during any step, s= earches continue only if the Recipient name lookup field in the Notes user's current Location document is set to Exhaustively check all address books= .

Search order is as follows:

1.        The user's Contacts

2.        Any local condensed directory catalogs on the client

Note: For searching to continue to a server, the Mail file location field in the active Location document must be set to On server. Type-ahead searches never continue to a server if there is a condensed directory catalog on the client.

3.        The primary Domino=AE Directory on the user's mail server or directory server

4.        Directo= ries defined in the server's directory assistance database that have the options Make this domain available to: Notes clients and Internet Authent= ication/Authorization enabled

New Notes 9 variable
In Notes 9 we have a new setting, which lets the typeahead drop down  show server results first and then local.



White paper on server first typeahead in Notes 9:

This white paper describes a new feature in Notes release 9.0, whereby a user can specify how names are displayed in type-ahead.  This feature can be set in Policies via two notes.ini variables.  (A third notes.ini variable - $ServerMailAddressing=1 - allows the feature to be seen in locations where the mail file is set "On Server".

SCENARIO 1:  No notes.ini policy in effect
  • Joe Salesman clicks File-->Preferences-->Contacts or More -->Preferences or "Edit Locations..." (on lower right corner menu)

    New text and link under Type-ahead option in Contact Preferences
    ** This link is hidden if Joe's current location is set to "On Server" AND there is no ini setting for $ServerMailAddressing

     

  • Joe Salesman clicks on the above-mentioned link; a dialog appears containing the current location in Edit mode.
     the dialog is automatically opens with the Mail tab displaying (this tab is where the new checkbox field is located)

    New checkbox field is visible (for all location types except "No Connection"):  "Type-ahead shows server contacts before local".

    The checkbox only enabled if Mail Addressing is set to "Server then Local".

     

    It is disabled if Mail Addressing is set to "Local" or "Local then Server".  



  • Joe Salesman clicks the "?" icon, and a help bubble appears



  • Joe Salesman clicks the "Mail addressing" static text and a help bubble appears

  • Joe Salesman saves the location with "Server then Local" and checkbox turned on.

    Technical: Because checkbox turned on when the Location is saved,  ini value is set:
    TypeAheadShowServerFirst=1

    Technical:  Because Mail Addressing is set to "Server then Local", ini value is set:
    TypeAheadShowServerFirstDefault=1

SCENARIO 2:  Joe Salesman has saved his location as shown in Scenario 1 OR Notes.ini variables have been set by Administrator policy
TypeAheadShowServerFirst=1
TypeAheadShowServerFirstDefault=1
  • Editing an existing location

    When the location form is loading:

    If TypeaheadShowServerFirstDefault = 1 and Mail Addressing <> "Server Then Local",
    Mail Addressing changes to "Server then Local"

    If TypeaheadShowServerFirst = 1 and checkbox is NOT turned on
    Checkbox is automatically turned on

    Scenario:

    Both ini variables are set.
    User edits current location.  Mail Addressing and Checkbox are automatically set as above.
    User turns off the checkbox (or changes Mail Addressing to "Local") and saves the location.
    At a later time, user edits the same location.
    • If Checkbox is not turned on, TypeaheadShowServerFirst is removed from notes.ini
    • If MailAddressing < > "Server then Local", TypeaheadShowServerFirstDefault is removed from notes.ini

    If the Administrator has set these ini variables via policy, the fields will be re-set next time user restarts the client and Dyn Config updates the policy

  • Creating new location:

Default Mail Type is "On Server"

If $ServerMailAddressing=1, the Mail Addressing and Checkbox fields will be automatically set as above.

If $ServerMailAddressing < > 1, Mail Addressing and Checkbox fields are hidden.
Even thought hey are hidden, after saving the location you will set them set accordingly through Document Properties.


When  both notes.ini values TypeaheadShowServerFirstDefault = 1and TypeaheadShowServerFirst = 1 are set
  • Except for location Local Only and DialUp, the address lookup, Ambious Names dialog and No Match dialog will behave as if Mail Addressing is set to "Server than Local".

Ambiguous Names/No Match dialog changes when TypeaheadShowServerFirst = 1 and MailAddress is Sever then Local
           
  • Normally these dialogs do one name sort over all the matches from both Server and Local address books.
  • When TypeaheadShowServerFirst = 1 and Mail Addressing is set to "Sever then Local", the sort has been modified so that the user will see name sorted server matches followed by name sorted local matches
