Resource Reservations Database - OK for Users to Access?

We have a Fitness Room here that is filled with various exercise equipment. This translates to a Meeting Room Resource called Fitness Room and various resources which are the treadmills and stair steppers, etc.

Employees book the room and the equipment. The question arose for employees to be able to see what is currently booked in the near future.

I know that I can have them open the RRDB and view reservations by resource using the Calendar view provided.

I also know that users can user C&S to find available times, but with this method they have to mostly fill out the meeting form before they can see the sliding scheduler.

My question is this. Is it safe or standard practice to provide users with access to the RRDB or is it really meant to be in the background? 

I really just need a view into the RRDB without users necessarily interacting with it.

Hello Doug!

There is no problem that user access directly the RRDB since they have the properly access rights.
For example: no permission to exclude or change reservation, no permission to create/delete resources, etc, etc.

Some feedback
First off, kudos to you for making users reserve from their Calendars and not directly in the R&R dB.  That is something not everyone does even though it benefits everyone.

As Rodrigo already said they can view things in the R&R dB without any issues.  If you want to allow them to only see what is there then make sure the ACL settings for them are basically Reader and not higher.  If you have anything set to use a room owner then make sure you do not accidentally lower the room owner access such that they cannot process requests.

There is another way to get the same info from inside the users mail files.  Look at the often forgotten but highly useful Group Calendar that is built into the mail template.  That gem of a feature is a great way to get a custom 'overview' of the availability of any users, rooms or resource (in any combination) in 1 simple screen:



Users can put any room or resource into the Group Calendar as a member and then easily see the availability.  Setting this up is very quick.  From a users Calendar:

1: Click More -> Create Group Calendars... in the action bar (or scroll the left sidebar down and click Create Group Calendars... under the Group Calendars heading)

2. Click New Group Calendar.

3. Type a group name in the Title field (e.g. Treadmills).

4. Enter the names of people, groups, rooms and resources you want to see the schedule for in the Members field.  To select names from a directory, click the arrow icon next to the Members field.

5. Click OK.

If you want to be nice to your users, you can email them a button that will create one for them.  You can mail it to them and they have the option to click the button and be all set or they can do it manually themselves.

 

To view the Group Calendar the users simply scroll the left hand panel of their Calendar down to the section marked Group Calendars and click on the name of the group calendar to view.  It will open and display the busytime data for each member.
