SPR# RDER5CLNGA - Fixed a problem where an Invitee would accept a meeting invitation sent to approximately 250 Invitees (less than 32k) and then declines thereafter.

Problem:
When a user supplies a Group Name in the TO field of a memo and either sends
the memo or presses the F9 key to resolve the Group Name(s) , the normal
functionality of Notes is to do one of the following:

Expand any Group Name to its member entries if that Group Name exists in the
Personal Name and Address Book (personal NAB).
Do not expand any Group Name to its member entries if that Group Name exists
only in the Domino Directory (Public NAB).

The 64K limit that holds true for the TO Field of a Memo also holds true for
the Invite field of a Meeting Invitation. However, group name(s) do not
expand in the TO field of a Memo form but will expand for a "TO" field in the
Calendar Entry form.

The Calendar and Memo forms differ with regard to one specific aspect to focus
on:

There is a field on the Calendar form called "$ExpandGroups". By default, this
is set to "3". This field can contain the following values:

"0" = Do not expand private or public groups
"1" = Expand private groups only (same as default behavior)
"2" = Expand public groups only
"3" = Expand private and public groups

Now, if you edit this field in the Calendar form and change the value for the
"$ExpandGroups" from "3" to "0" so that group names will not expand, then
create an invitation and press F9 or send it, as described above, the group
name will not expand in the Invite field. When you check the status of the
invitees via Actions > View Invitee Status, the following situation will occur:

If an invitee from that group accepts the invitation, they will be listed
separately from the group with a status of "Accepted.
If an invitee from the group declines the invitation, they will be listed
separately from the group with a status of "Declined".
If an invitee from the group does NOT respond, then only the group name will be
listed with a status of "No Response". There is no indication as to who has
not responded to the invitation.

Therefore, by changing the value of the "$ExpandGroups" so that group names
will not expand for Calendar entries (on the Calendar Entry form), the Group
Name document will remain a "residual entry"; and only if a member responds to
that invitation will any member be shown separately along with their status.

This is because the invitation is sent to the Group document as well as the
members' mail files for that Group. Whereas a member receives an invitation
document in their Inbox and can respond to this document, a Group document
cannot respond to an invitation. The group name is treated as an invitee, but
it does not have a mail file to receive this invitation, nor a person/owner who
can respond to it. This is the precise reason why group names resolve when
entered in the Invite Field of the Calendar Entry form in Notes/Domino 5.x C&S
functionality (versus that of 4.5x or 4.6x).

The behavior in Notes/Domino 6.x has changed where the group name does not
appear, but whoever does respond to the meeting falls into an "Unknown" list as
to whether they accepted or declined. Those who have not responded are listed
appropriately under the "Required" list.

Notes/Domino is working as designed. Please note that any modifications to the
Calendar form would result in "customization of the product" which is something
that could not be readily supported by IBM/Lotus Support.

For instance, in this case, only a "residual entry" for the group name was
shown and may have been considered "liveable"; however, other aspects of
Calendaring & Scheduling not visited here may not work as designed.


An enhancement request, to allow more names in the Invite field, was submitted
to Quality Engineering as SPR# RDER5CLNGA, and was addressed in Notes/Domino
6.5.6.

the invite as a draft: "Error: 'Field is too large (32K) or View columns...'
when using "Save as Draft' on invitation with very large number of invitees"
